ChatGPT is not a system: when free AI tools stop being enough

The short answer: free ChatGPT and free Gemini are the best S$0 your business will spend this year. For drafting, summarising and thinking out loud, they're great. But a chatbot isn't a system. It answers when a human asks. It can't wake up at 9am, watch a spreadsheet, chase an invoice, or log what it did while you were serving customers. So if your pain is repetition on a schedule, upgrading everyone's chatbot buys you a more eloquent chatbot, not automation. The maths below shows how a team of three can pay over S$1,000 a year for AI seats and still own zero automation, while the "system" part costs US$9 a month (billed annually) or nothing.

What you're actually buying

Paid chat buys capacity, not autonomy. Gemini's tiers are literally sold as usage multipliers. AI Plus is "2x higher usage limits than Free", Pro is 4x, Ultra up to 20x. More questions answered per day. Stronger models, bigger files. All still pull: a human types, the AI replies, and the AI forgets to follow up, because following up was never something it could do.

A system buys the boring parts. Make's unit is a credit: "each module action in your scenario, like adding a Google Sheet row or fetching Gmail account data, counts as one credit". That's the stuff of actual automation. Watch, decide, act, record. Its AI Agents run on every plan, Free included, so the AI brain and the plumbing come together.

The trap is upgrading the wrong one. The moment an owner says "the AI keeps forgetting" or "I have to remember to ask it every morning", the missing piece is a trigger and a schedule. That's a S$0–13 problem, not a smarter model at S$29 a seat.

The maths for a three-person team

Say you, your admin and your ops person all "go paid" so the AI is less limited:

• 3 × Gemini AI Pro = SGD 86.97/month = S$1,043.64/year
• 3 × ChatGPT Plus (App Store) = S$89.94/month ≈ S$1,079/year

After spending it, nothing in the business runs by itself. Now the split-spend alternative. Everyone stays on free chat, and the repetitive work moves to a system. Make Free covers roughly 300–500 simple runs a month; the US$9/mo tier (billed annually) covers 5,000 credits. Total: S$0–150/year on annual billing, and the invoice chaser, the daily sales summary and the receipt filing now happen without anyone remembering to prompt them. If one heavy user really does need more chat capacity, buy one seat. Not three.

Singapore-specific notes

• Google publishes true SGD prices for Gemini plans (SGD 0 / 6.98 / 28.99 / from 139.99). Rare, and welcome. The SGD figure runs ~13% above a straight USD conversion; whether that's GST-inclusive isn't stated on the page, so we haven't claimed it.
• OpenAI reaches SG wallets via the App Store at the prices above. Its web pricing is unverifiable from automated infrastructure, which is a reminder to check the live page before subscribing.
• The PDPA note you should actually read: on free tiers, your chats train the models. Google's notice says free-tier conversations are used to improve its AI and that a subset are reviewed by humans. Fine for drafting a promo caption. Not fine for pasting a customer list. Paid business tiers change those terms, and that, more than model quality, is the real reason a business upgrades chat.

Which one for which business

• Solo owner, mostly writing and thinking: free ChatGPT or Gemini. Stop reading, you're done. Spend the hour on the content prompt pack instead.
• Anyone drowning in repetition (chasing, filing, summarising, routing): free chat plus a system. Start with our receipt-bot playbook. It's the pattern for everything else.

You might need neither if…

…your AI use is genuinely occasional. A couple of questions a week, the odd email tidy-up. Free tiers cover that with room to spare, and a S$0 bill you don't think about beats a S$29 one you forget to cancel. Revisit only when you catch yourself doing the same AI-assisted task three Mondays in a row. That's a system smell, not a subscription smell.

1. Pick the chore you repeat most: receipts, lead alerts, daily takings.

FAQ

Isn't ChatGPT Team/Business the same as "a system"? No. It's shared chat: one workspace, shared GPTs, better data terms. Useful, but nothing in it watches, schedules or executes across your other apps. (Its current SG per-seat price isn't printed here. Check it before buying.)

I heard ChatGPT has agents/tasks now. Capabilities move fast, and chat products keep adding scheduled and agentic features.
